How DropLink works

DDropLink product teamWritten from the live applicationUpdated on 7 min read

In short: DropLink turns an order into a tracking link you send to your customer. You add your photos and the tracking number; DropLink queries the carrier and updates the status on its own. This guide covers every screen, from creating your account to reading your analytics.

Overview

DropLink solves a single problem: customers asking ten times where their parcel is. The principle fits on one line.

What DropLink does

  • Create an order from the customer name, your photos and a tracking number.
  • Generate a unique tracking page, in your colours, that the customer opens without an account.
  • Pull carrier information and move the status forward automatically.
  • Give you an overview: shipments in progress, parcels with no movement, links opened.

What DropLink does not do

DropLink is not a marketplace and does not manage your catalogue. You will find no products, quantities, prices, cart or revenue: that data belongs to your shop, not to your tracking.

Creating your account

  1. 1Open an accountBy email or with Google, from the sign-up page. No bank card is required.
  2. 2Name your shopThe name and logo appear at the top of every customer page.
  3. 3Create your first orderYou get a link to share straight away.
How long it takes
An account takes under a minute, and the first tracking link goes out in the same session. There is no carrier integration to configure beforehand.

Setting up your brand

The My brand screen is an editor for your customer page, not a plain form: every change shows immediately in the preview.

SettingEffect on the customer page

Name and descriptionIdentify your shop to the customer.
Accent colourApplied to the page accents. Default: #5B4BF5. Contrast is adjusted automatically so the text stays readable.
Social linksInstagram, TikTok, WhatsApp and website, shown when filled in.
WatermarkStamps your name on the photos you upload.

Creating an order

The Create an order button sits on the orders list. The form fits in three blocks, with the customer page preview alongside.

  1. 1Customer detailsThe customer's name or handle, and an optional email. The email is only used to send the link; it creates no account.
  2. 2Photos and videosDrop your files: the order, the packing, the sealed parcel.
  3. 3Tracking and shippingPaste the tracking number. DropLink recognises the carrier and starts querying it.
There is no save button
The order saves itself as you fill it in. Adding a tracking number later is enough to start tracking.

Photos and videos

Media are the heart of DropLink: they replace the back-and-forth messages. Add them by drag and drop or by picking files, and reorder them with the mouse or the keyboard.

  • Photos and videos are accepted. The first image is used as the cover.
  • Twenty media per order, including three videos.
  • The customer opens each photo full screen, and plays videos without leaving the page.

Carrier and tracking

You have no status to enter. Paste the tracking number: DropLink queries the carrier and updates the page.

A freshly pasted number has not been scanned yet
It is not an error: the carrier simply has not published anything. The page says so, and never « number not found ».

Carriers

The carrier is recognised from the tracking number. The Analytics screen shows how your shipments split between carriers.

Order statuses

The tracker has four steps, and it never goes backwards. Finer detail lives in the tracking history, not in the tracker.

Not scanned yetThe number is saved, the carrier has published nothing yet.
ShippedThe carrier has picked up the parcel.
In transitThe parcel is moving; every movement shows on the customer page.
DeliveredThe carrier has confirmed the parcel was handed over.
Silence is named after ten days
A parcel with no movement for more than ten days is flagged, on the Shipments screen and on the customer page. Named silence is information; unexplained silence reads as a failure.

The customer link

Every order has its own link. Your customer opens it without an account, on mobile or desktop, and finds your photos, the parcel status, the movement history and your contact details if you filled them in.

  • Your logo, the shop name and your social links.
  • The order reference and the estimated delivery date.
  • A tracking rail: Not scanned yet, Shipped, In transit, Delivered.
  • Your photos and videos of the order.
  • The carrier and the tracking number.
  • The detailed history of tracking events.
The link never changes on its own
You can edit an order you already sent: the customer sees the update on the same link. Only « revoke and regenerate » creates a new address, and it cuts off the old one for good.

Shipments

The Shipments screen groups all your parcels, regardless of orders. It is the view to open when you look for what has stopped moving: the default sort brings immobile parcels to the top.

Analytics

Analytics measure your use of DropLink and the effectiveness of your tracking. No revenue data appears: DropLink does not know your prices.

MetricWhat it measures
Orders createdNumber of orders created over the period.
Orders deliveredOrders the carrier has confirmed as delivered.
Customer links openedNumber of times your tracking pages were opened.
Average delivery timeAverage time between the carrier taking the parcel and delivering it.

On top of that: order trends over 7, 30 or 90 days, status breakdown, carrier usage and recent activity.

Notifications

When you fill in your customer's email, they get a message when the parcel is delivered. You stay in control: the email is optional, and it never creates an account.

Settings

  • Account: name, email and password — the email and password only change with your current password.
  • Preferences: interface language. The language of customer pages is set in My brand.
  • Security: two-factor authentication, active sessions, account deletion.
  • Data: export your data, delete everything — every destructive action asks for confirmation.
  • Subscription: current plan. During the validation phase, DropLink is free.
  • Support: help centre.

Free and Pro

DropLink has a free plan and a Pro plan. The free plan allows 15 orders in total — a lifetime quota, it does not reset each month. Pro raises it to 300 orders per month and removes the DropLink mention from the page your customer sees.

Frequently asked questions

Does my customer need an account?
No. They open the link and see their order immediately, with no signup and nothing to install.
Do I have to update the status myself?
No. The tracking number is enough: DropLink queries the carrier and moves the status on its own.
Can I create an order without a tracking number?
Yes. Create it, share the link, and add the number once the parcel ships: the customer sees the update on the same link.
Does DropLink sell my products?
No. DropLink handles no catalogue, no payment and no prices: only tracking and customer communication.
How long does my link stay active?
As long as you want. A link does not expire on its own: only « revoke and regenerate » replaces it.
What does my customer see if I revoked the link?
A DropLink page explaining the link is no longer valid and inviting them to contact you. It reveals nothing about your shop.
